How to Improve Your Therapy Practice Follow-Up Process

The single biggest lever for your therapy practice’s inquiry-to-booking conversion is reply speed. Inquiries that get a reply within four hours convert at a much higher rate than inquiries that get a reply two days later. By the second day, the inquirer has often contacted two other therapists and is comparison-shopping. By day three, they’ve usually booked someone else.
Four hours is the target. The mechanism that makes it possible is a templated first-reply you send within the four-hour window.
The template.
“Hi [name], thanks for reaching out about CBT. I have current openings and would be glad to talk through whether we’d be a good fit. The fastest way to book a 15-minute consultation is here: [direct link]. If the times don’t work for you, just reply to this email with what works and I’ll find a slot. Looking forward to hearing back. [Your name]”
That’s the whole template. Six sentences. The booking link is the conversion mechanism. The “reply with what works” line is the fallback for inquirers who can’t make the available times. The signature line is personal but professional.
What the template avoids: long descriptions of your approach, links to multiple pages, requests for information from the client beyond what they need to book. Each of those slows the booking down.
The four-hour target is achievable if you check email twice a day at fixed times (morning and after lunch, say) and send the template reply during the check window. You don’t need to be on email all day. You need to be reliably on email during two daily windows.
If you can’t reply within four hours yourself, an automated acknowledgement with the same booking link can fill the gap. “Thanks for reaching out. I’ll get back to you within 24 hours. If you’d like to book a 15-minute consultation in the meantime, here’s the link: [direct link].” Many inquirers will book directly from the auto-reply without needing your manual response.
